Developing and implementing a standardized procedure for advising students.

B. Describe this action project in 100 words or less:

This project will consist of five phases 1) Develop and produce  a faculty academic advising handbook and a student advising manual 2)  Develop and implement an advising training program for new faculty 3) Implement annual process for reviewing the handbook, student manuals, training program 4) Assess potential need for a centralized advising office with personnel resources and 5)  Assessment of each phase of the project.

D. Describe briefly your institution’s reasons for taking on this Action Project now — Why the project and its goals are high among your current priorities:

With the advent of online registration, the importance of accurate and timely advising of students has become a major concern. Faculty and staff perceive that the training and resources for faculty advisors are limited and not systematized, creating frustration and perhaps contributing to a sense of students getting the run-around. (Students indicated on the 2006 Noel-Levitz SSI a gap of 1.8 in response to the question “I seldom get the run-around when seeking information on this campus.”)

Advising is currently a decentralized process involving most teaching faculty and is supported by the Records and Admission staff. The role of advising and expectations for faculty are not well defined across the college. Additionally, it is difficult for advisors to remain current in the specific knowledge needed for course scheduling and admission/graduation requirements for the different health care majors. A coherent philosophy of academic advising (including goals of advising and advisor/advisee responsibilities), up-to-date resources, and a systematic process for training and updating advisors is needed.

1) Student Services: Admissions, Registration, Financial Aid and Academic Support Services 2) Department of Allied Health: Respiratory Care, Radiologic Sciences and Imaging, Medical Sonography and Health Care Professional Studies 3) Department of Nursing: Associate and Bachelor of Sciences 4) Human Biology Major, Graduate program in Physician Assistant Studies. 

 F. Name and describe the key organizational process(es) that you expect the action project to change or improve:

  • Registration process for students including meeting with advisor and on-line registration
  • Advising process for faculty
  • Student services for the registration and tracking of student progress

G. Explain the rationale for the length of time planned for this action project (from kickoff to target completion):

Phase 1 is expected to take one year. Most of the materials for the handbooks exist in varying forms but are in multiple locations. These need to be organized and put on-line for easy access.

Phase 2 is expected to take one year to develop and implement at least once.

Phase 3 is the most complicated and is expected to take about one year.

Phase 4 will be spread over phase 3 and 5.

Phase 5 will begin at the completion of phase 1 and continue for approximately one year after completion of phase 3 and 4.

H. Describe how you plan to monitor how successfully your efforts on this action project are progressing:

  • Establish  baselines for the current attitudes of faculty and students toward the advising process        
  • Monitor the number of registration errors  processed through the academic appeals
  • Surveys of faculty and students at the start of the project and at the end of each phase
  • Track number of referrals for intervention to academic support services
  • Monitor change in number of drops (W/P, W/F, attrition)

I. Describe the overall “outcomes” measures or indicators that will tell you whether this action project has been a success or failure in achieving its goals:                                          

  • Fewer registration errors as recorded through academic appeals.
  • Positive improvement in response from faculty and student surveys
  • Increase in number of referrals for intervention
  • Decrease in number of drops during first two weeks of classes

  • Project will be introduced to faculty and students through a variety of means: college newsletter, kick-off meetings, and student promotions (to increase awareness and participation).
  • Utilize expertise from National Academic Advising Association (NACADA)
